Who We Are

This website, the district association portal and the office's admin panel are run by the Uttar Pradesh Taekwondo Association (UPTA), 144/19/2 Gwynne Tank, Aminabad, Lucknow 226018. In this policy "we" and "us" mean UPTA.

This policy follows the Digital Personal Data Protection Act, 2023. For privacy questions or complaints, contact the General Secretary (see "Grievances" below).

What We Collect

We collect only what we need to run taekwondo in the state:

  • Contact form: your name, mobile number, email address and message, with the time and your internet (IP) address, which help us stop misuse.
  • District associations: the association's details, its office bearers' names, gender, mobile numbers, email addresses and photos, its documents, and its PAN and bank details.
  • Training centres: the centre's details, its owner, head coach and secretary (names, contact details, photos, Dan grades and certificate numbers), its documents, and its PAN and bank details.
  • Players: name, parents' names, gender, date of birth, Aadhaar number, mobile and email, address, photo, copies of the birth certificate and Aadhaar card, belt grade, blood group, height, weight, any medical notes, school or college, and, for players under 18, a parent's or guardian's name, relation and mobile number.
  • Sign-in accounts: the email address and a password (stored only in scrambled, hashed form), and a record of each sign-in attempt (time, internet address and browser).
  • Cookies: only the ones the site needs to work: a session cookie that keeps you signed in, and a security cookie that protects forms. Your light or dark theme choice is kept in your own browser. We use no advertising or tracking cookies.

Why We Use It

  • To affiliate district associations, and to register, approve and keep records of training centres and players.
  • To issue UPTA numbers, player ID cards and certificates, and to check that a player is not registered twice.
  • To organise championships and selections, enter players in events and publish results.
  • To answer your messages, and to send the emails the services need: sign-in codes, receipts, renewal reminders and approval notices.
  • To keep the association's accounts, and to keep the services secure.

Players Under 18

Most players are children. A player is registered by their training centre through its district association, which collects the details with the consent of the player's parent or guardian and records the guardian's name and mobile number. Players under 18 are never contacted for marketing, and their details are used only for their taekwondo registration and events.

Who Can See It

  • The UPTA office: administrators can see all records, to approve registrations and keep the state register.
  • District associations: each association can see only its own training centres and players.
  • The public website shows only what helps people find taekwondo: the names of affiliated associations and authorised training centres, their districts and contact details, office bearers, event details and results. Aadhaar numbers, identity documents, medical details, PAN and bank details are never published.
  • Others, only when needed: the national federation or an event organiser when a player is entered in their event, and the companies that host this website and deliver its email, under confidentiality.

We do not sell personal information or share it for advertising.

How We Protect It

Aadhaar numbers, PAN and bank account numbers are stored encrypted, and only the last four digits of an Aadhaar number are ever shown. Passwords are stored in hashed form. Identity documents are kept in private storage that only the office and the player's own association can open, and every opening of a player's document is logged. District accounts confirm every sign-in with a code sent to their email, and signed-in users are signed out after a period of inactivity.

How Long We Keep It

  • Association, training centre and player records: while the affiliation or registration is active, and afterwards for as long as the association needs them for its records, results and certificates.
  • Payment and receipt records: for as long as the law requires accounts to be kept.
  • Sign-in records: one year, then they are deleted automatically.
  • Contact form messages: until they are answered, and then for a reasonable time in case of follow-up questions.

Your Rights

You can ask us for a summary of the personal information we hold about you, to correct or complete it, or to erase it when it is no longer needed for the purpose it was collected for or for a legal requirement. You can withdraw consent you have given, and you can name someone to act for you. A parent or guardian can do this for a player under 18.

Players and officials can also ask their district association, which can correct its own records in the district portal.
